WHAT DO I NEED TO HIRE A VEHICLE?

We need to see all the following documentation at the time of hire.

1) DRIVER'S LICENCE. 

  • 21 to 24 yrs of age: A current full driver's licence held for a minimum of 24 months, (endorsements and restrictions permitting).
  • 25 Yrs and Over: A current full driver's licence held for a minimum of 12 months, longer for minibuses (endorsements and restrictions permitting).

Hirers will be asked for what the vehicle is being used for. This is part of our insurance requirement.

Non-EU driving licences may require an International Driver Licence for translation. We advise Non-EU driving Licence holders to check their eligibility to drive in UK as certain restrictions apply if they have been resident in the UK for more than 12 months. Advice is available at GOV.UK website.

UK Driving Licence Holders: IMPORTANT INFORMATION

You must produce either your Photo Card Driving Licence or old paper style licence. PLEASE NOTE that the Driving Licence paper counterpart was abolished on the 8th of June 2015*. All driving records are now digitally stored by the DVLA. You will need to obtain an ACCESS/VERIFICATION CODE from the DVLA in order for us to view your driving record information. The code can be obtained at www.gov.uk/view-driving-licence (free of charge) or by telephoning 0300 083 0013 between 08:00-19:00 Monday to Friday, 08:00-14:00 Saturday, choose "Online Application” option. Your access code is case sensitive and can only be used once. The code is valid for 21 days. Underneath the code there is a link to print the driver summary. If you have access to a printer, please click this link and print the driver summary and produce it when collecting your vehicle as this will speed up the booking out process. The Access Code or Driver Summary must be produced at the time of hire.

Please complete before Weekends, as DVLA has been unavailable to contact over the phone if there are any errors or queries that arise, over recent weekends!

*Changes from 8 June 2015 in GB to the paper counterpart of driving licences do not affect driving licences issued by DVA in Northern Ireland. Northern Ireland driving licences still require both the plastic photocard and paper counterpart

2) TWO FURTHER FORMS OF IDENTIFICATION Confirming current address (i.e. bank /credit card statements, utility bills etc. dated within the past 6-8 weeks. Printed online utility bills etc. are acceptable providing that they show current address and recent date). Alternatively, PDF versions are acceptable, and can be uploaded via the booking portal or forwarded to us via email from your smartphone when you collect your vehicle. A Passport cannot be accepted as address confirmation as it does not have a printed address in it. Hirers with out of area addresses may be subject to larger deposits. If in doubt, please call our Manchester or Leeds Rentaldesk for further clarification.

Moving House? Documentation in line with the above confirming new address to be produced also.

NON PHOTOCARD DRIVING LICENCES. Additional photographic ID required e.g. Passport.

NON-UK RESIDENTS / VISITORS ----- PLEASE READ CAREFULLY, AND CONTACT US BY PHONE PRIOR TO COLLECTING VEHICLE.

Please note this only applies to NON-Residents.

Hirer must produce the following: Driving licence, Passport, and International Driving Permit (where applicable). Two utility bills / statements / Official letters, dated in the last 4 weeks prior to collection date, that confirm their CURRENT PERMANENT HOME address, and that matches the driving licence address. Documentary evidence of where you are staying in the UK. (Hotel booking confirmation covering duration of vehicle hire. Family members ID and address confirmation to be presented by them in person, with the hirer, at the time of hire, dated in last 6 weeks.), Evidence of return travel (e.g. flight confirmation). Passport. All payments must be made on the Hirer's Credit Card.


3) CREDIT / DEBIT CARD Hire charge and Deposit payable by Hirers own Credit / Debit Card at the commencement of hire (Credit Card only in certain cases see Deposits table below for details).

HOW OLD DO I HAVE TO BE AND HOW LONG DO I HAVE TO HELD MY FULL DRIVING LICENCE?

At Salford Van & Car Hire, we believe that you shouldn't have to struggle to hire a vehicle because of your age. We offer vehicle rental to anyone 21 years and above (subject to Insurance Provider conditions)  

For Car hire: 21 to 24 years of age and have held a full Driving Licence for a minimum of 24 months. For 25 to 75 years of age, you must have held a full Driving Licence for a minimum of 12 months

  • For Kia Sportage & Toyota Yaris & Corolla Hybrid Car hire 25 years and over and held Driving Licence for a minimum of 24 months.
  • For 9 seaters 25 years of age and over and held Driving Licence for a minimum of 24 months.

For light vans and commercials: 21 to 24 years of age – held a full Driving Licence for a minimum of 24 months. 25 to 75 years of age held Driving Licence for a minimum of 12 months.

Please Note. The government's licensing rules may have changed since you last hired this type of vehicle so please check on the DVLA website below or contact us.

WHAT SIZE OF VEHICLE CAN I DRIVE ON A STANDARD CAR DRIVING LICENCE?

UK Licence Holders

Driving test passed AFTER 1st January 1997, Category B applies. Category B entitles you to drive vehicles up to and including 3.5 tonne GVW and vehicles with a maximum of 9 seats [driver and 8 passenger seats]. In order to drive a 7.5 tonne GVW vehicle Category C1 is required. A further test is necessary in order to obtain this driving category.

Driving test passed BEFORE 1st January 1997. Category C1 entitlement is normally automatic when the driving test was passed before 1st January 1997. If in doubt, please check your driving licence. Alternatively, you can check your driving category entitlements at www.gov.uk/view-driving-licence.

Non-UK Licence holders.

Normally Category B entitlement as above. If in doubt you can obtain further advice at www.gov.uk/driving-nongb-licence.

WHAT DOES THE PRICE INCLUDE?

All prices are subject to VAT at the current standard rate. There are no hidden extras. All rates quoted are based on vehicles up to 3.5 tonne gvw including cars not exceeding 1000 miles per week, 1500 miles maximum allowed, excess mileage will be charged at 20p per mile up to 2000 miles, thereafter 40p per mile. Vehicles above 3.5 tonne DVSA drivers’ hours and tachograph rules apply for vehicles used for the carriage of goods. Rates for all vehicles include comprehensive insurance up to 7.5 tonne GVW vehicles, and an insurance excess applies unless you add CDW/EDW, which can reduce or remove that excess. CDW/EDW is only available if you hold a UK licence and are aged 25 or over, and it only covers one incident. It won’t cover tyres, wheels, keys, audio, fuel contamination, or theft of contents. Windscreen damage is your responsibility unless you’ve added CDW/EDW. Tow bars can’t be used on any vehicle due to insurance restrictions.

WHAT HAPPENS WITH FUEL?

All vehicles leave our premises with a full tank of fuel. (Various Commercial and Car models also leave with a full tank of AdBlue). As fuel gauges can be inaccurate, please check before leaving as adjustments cannot be made later. Before you leave, please ensure you are aware of the type of fuel required. We recommend that vehicles are returned full of fuel. Any fuel taken on return will be charged for. Our current fuel prices are displayed at the rental desk / available on request.

CAN I USE VEHICLE FOR WASTE REMOVAL?

If you are planning to hire a van for removing rubbish to a local Recycling Centre, please check if your local recycling centre requires this vehicle to be registered and a permit granted prior to your hire starting. Please note that there are different rules for personal waste and trade waste and dependant on which recycling centre you wish to visit. It is your own responsibility to check this prior to hiring vehicle.

CAN I TAKE THE VEHICLE OUT OF THE UK?

Vehicles are for UK MAINLAND USE ONLY.

HOW MUCH IS THE DEPOSIT?

Deposits vary depending on the type of vehicle you wish to hire, and these are outlined in the table below. It is advisable to call us and check before picking up the vehicle, as the deposit, plus the rental charges, are paid at the time of hire. 

Please note that drivers with endorsements and or out of area addresses may be subject to larger deposits. 

Deposits are refunded on return of the vehicle provided vehicles are returned within the hire period / full of fuel / there are no insurance excess claims. Any additional charges will be deducted from the deposit.

HOW MUCH IS THE INSURANCE EXCESS?

All vehicles up to 7,500 kg GVW are comprehensively insured but have an insurance excess which will vary depending on the size of the vehicle, your driving record and your age. 

Our standard deposits and charges are outlined in the table below. 

You are responsible for any damage, loss sustained to the vehicle or 3rd party claim against the vehicle and are liable to pay the insurance excess in this event. 

Due to fluctuations, as well as the number of variables in determining the insurance excess, it is recommended that you contact us for the latest information.

WHAT IS COLLISION/EXCESS DAMAGE WAIVER OR CDW/EDW?

In the event of an insurance claim, Collision/Excess Damage Waiver - or CDW/EDW, as it is also known - can reduce your deposit/excess, or protect you from losing your deposit all together, depending on the vehicle class you have hired. This can be taken out with an additional payment at the time of hire. 

Please note, however, that CDW/EDW does not cover you for the loss of, or damage to: tyres, wheels, keys, audio equipment or fuel contamination nor does it cover theft of contents.

CDW/EDW is ONLY available to drivers holding a Full UK licence, aged 25 years and over hiring vans, commercials, cars and 7/9 seaters. CDW/EDW availability is also subject to the driver having a satisfactory driving record. The cost for this option can be advised at the time of hire.

CDW/EDW in NOT available to Non UK licence holders, as we are unable to check for driving endorsements / restrictions.

Collision/Excess Damage Waiver cover is for ONE single incident / accident only, the full deposit will need to be paid should another vehicle be required after an accident / theft.

The Insurance Excess and Deposit will increase after the first accident, please contact SVH for further details. CDW/EDW will not be available.

* Sportage and Hybrid Autos Deposits are by Hirers Credit card only.

** Vehicles above 7500kgs gvw to 18000kgs gvw using SVH Insurance are subject to a HGV Levy of a minimum £50.00 daily charge, and a higher Insurance Excess.

IS THE WINDSCREEN COVERED?

Windscreen damage is your responsibility, unless Collision/Excess Damage Waiver (CDW/EDW) is taken out at the time of hire.

CAN I HAVE AN ADDITIONAL DRIVER?

Yes. Each additional driver is £12.50 plus vat per week, or part of. 

A total maximum of 4 drivers is allowed. Additional drivers are required to attend in person at the time of hire and produce their Driving Licence, Access Code /printed DVLA Driving Summary [if applicable] and ID as per main driver. 

To amend, or add drivers once a vehicle is on hire, fresh paperwork is required, and all drivers must reattend for this to be done. Please contact us in advance with any other queries.

HOW CAN I PAY?

By Credit / Debit card. Whole or part payment of charges is required by Credit or Debit card. Certain Cars require Full payment by Credit Card only. See table above. All major credit and debit cards are welcome, including Visa Cards, MasterCard. Outstanding payments are taken from credit or debit cards.

This includes all outstanding balances to the hire agreement and any charges received after the hire has ended, e.g. Fines, penalties, congestion charges etc. and the administration thereof.

By Cash. Hire Charges and Extension Payments (when agreed in advance) only - Deposits MUST be paid by Credit / Debit Card.

By Cheque. Cheques are only accepted with prior agreement. Please ring first.

WE ARE CURRENTLY UNABLE TO ACCEPT APPLE PAY/GOOGLE PAY AS A PAYMENT METHOD. 

WHAT IF I AM LATE RETURNING THE VEHICLE OR I WISH TO EXTEND THE HIRE?

It is very important that you contact us and let us know. We can then advise you of any additional charges and if required can arrange payment and insurance cover. Additional rental charges are payable before the expiration of the current rental period. Payments are taken from credit or debit cards.

WHAT HAPPENS IF I BREAKDOWN?

In the unlikely event of your vehicle breaking down, please note that all Salford Van Hire vehicles come with full nationwide breakdown coverage. Details of this will be included with the documents given to you at the time of hire. It is important that you keep these with you.

WHAT DO I DO WHEN I RETURN THE VEHICLE?

It's easy. Just return the vehicle to our fuel pumps where you will be met by a member of our yard staff. You will be issued with a receipt confirming the condition of the vehicle and it will indicate any additional fuel charge. We recommend that all vehicles are returned full of fuel. Please present this ticket at the rental reception where your paperwork will be quickly completed.

Vehicles returned OUTSIDE OF OFFICE HOURS cannot be inspected for Fuel and Damage until the Depot Reception opens the following morning. Any discrepancies will be advised, but cannot be disputed. We advise returns during opening hours for this reason.

WHAT COUNTS AS A DAY'S RENTAL

A day's rental is classed as the 24 hour period from the time of collection of the vehicle. For example, if you collect your vehicle at 9.30am and return it before 9:30am the next day, this classes as one day's rental. However, if you return the vehicle at 11am the next day, you will be charged 2 day's rental, as you have entered the next 24 hour period.

We understand that things don't always go to plan so, if you are running a few minutes late we won't charge you for an extra day, we give you a grace period of up to 60 minutes to cover unforeseen delays.

CAN I RETURN THE VEHICLE EARLY?

Yes, absolutely. There is no penalty fee to pay if you decide you would like to return your vehicle earlier than expected, you will only be charged for the number of days you had use of the vehicle.

DO I HAVE TO PAY TOLLS, CONGESTION CHARGES, EMISSIONS ZONE CHARGES OR BUS LANE & PARKING FINES OR OTHER TRAFFIC OFFENCES?

When you hire a vehicle from us, you are responsible for paying any charges that come up during your rental. These charges can include:

London Congestion Charge
Dart Charge
Oxford’s Zero Emission Zone Charge
Other road tolls and crossing charges
Parking fees
Traffic offences, such as bus lane fines, prohibited turns, or box junction violations
We want to make your journey as smooth as possible, so here’s what you need to know:

Clean Air Zone (CAZ) and Low Emission Zone (LEZ) Charges
Salford Van & Car Hire vehicles meet Clean Air Zone and Low Emission Zone standards, so you won’t need to worry about charges in these areas. For more information on these zones, check out the links to Clean Air Zone (CAZ) and Low Emission Zone (LEZ) charges.

How and When Do I Pay These Charges?
For details on how and when to pay specific charges like the London Congestion Charge, Dart Charge, or road tolls, we recommend checking the relevant government websites. We also encourage you to plan ahead and be mindful of road signs during your journey to avoid any accidental traffic offences.

What About Parking Fees?
Most car parks in the UK have clear instructions on-site for how and when to pay. Please follow those instructions to avoid any issues.

What If I Forget to Pay These Charges?
If you forget to pay a required charge, you may receive a Penalty Charge Notice (PCN). Here's what happens next:

The PCN will be sent to Salford Van & Car Hire as the registered vehicle owner.
If you haven’t paid the charge, we’ll either:
Transfer liability to you: We’ll provide the issuing body with your details, so they can reissue the notice in your name, and you’ll have 28 days to pay.
Pay the charge ourselves: If we can’t transfer liability, we’ll pay the charge to avoid any additional penalties, and then we’ll charge the cost back to you.
How Do I Pay or Query a Penalty Charge Notice?
If you receive a PCN, you’ll need to contact the issuing body directly. You can find their contact details and payment instructions on the notice or through their websites or on the PCN itself.

Additional Charges
Each time we receive a PCN, our team needs to process it. For this, we’ll charge a Third Party Administration Charge to cover the time spent transferring liability or handling payment, this charge will be a minimum of £35 + VAT (£42 incl VAT). This is a separate charge from the PCN and must be paid directly to Salford Van & Car Hire.
